School Administrative Officer

ROLE SUMMARY:

The School Administrative Officer plays a key role in the smooth operation of the school’s sports programme by providing high-level administrative, operational, and logistical support to the Director of Sport. This position requires strong organisational skills, initiative, and the ability to manage multiple priorities in a fast-paced environment, ensuring that all sports-related activities, events, and travel are executed to the highest standard.

KEY RESPONSIBILITIES:

1. Administrative & Operational Coordination

  • Support budgeting, tracking, and reporting for sports trips and events.
  • Coordinate international travel (flights, accommodation, insurance, visas).
  • Maintain programme records, team lists, and parent communications.

2. Stakeholder Communication & Safeguarding

  • Liaise with external providers (coaches, agencies, insurers, sponsors).
  • Support contract processing, including translation and coordination with the Business Director.
  • Ensure safeguarding compliance for external coaches; maintain accurate and up-to-date records.

3. Operational Support to Director of Sport

  • Manage day-to-day logistics of the sports programme under delegation.
  • Implement solutions within approved parameters to ensure effective delivery.
  • Proactively anticipate needs, mitigate risks, and maintain operational continuity.

  • Discretion and professionalism in handling confidential information.

Qualifications & Experience

  • Previous administrative experience, ideally in an educational or sports setting.
  • Proven experience in translation, educational administration, budget management, and travel logistics.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with educational database or software platforms (iSams, ManageBac, Microsoft Teams, SharePoint).
  • Knowledge of sports administration practices and safeguarding requirements is an advantage.
