The Receptionist is responsible for providing a welcoming, professional, and efficient front desk service to students, parents, staff, visitors, and external providers. This role supports the daily operation of the school by managing communication, assisting with administrative tasks, and ensuring that all visitors and inquiries are handled with courtesy, accuracy, and confidentiality.
KEY RESPONSIBILITIES:
- Welcome students, parents, staff, visitors, and suppliers in a professional and friendly manner.
- Answer phone calls, emails, and general inquiries, directing them to the appropriate department or staff member.
- Manage the front desk area, ensuring it remains organized, welcoming, and professional at all times.
- Support visitor management procedures, including registration, identification, access control, and coordination with security protocols.
- Provide accurate information to parents, visitors, and staff regarding school procedures, schedules, and general services.
- Receive, organize, and distribute correspondence, documents, deliveries, and messages as required.
- Support administrative tasks such as filing, data entry, appointment coordination, and document preparation.
- Assist with student attendance, late arrivals, early departures, and communication with parents when required.
- Maintain confidentiality when handling sensitive information related to students, families, and staff.
- Collaborate with academic, administrative, admissions, HR, and operations teams to ensure smooth daily communication and support.
THE IDEAL CANDIDATE WILL HAVE:
- Previous experience as a receptionist, front desk, customer service, or administrative role.
- Excellent communication skills in English and Spanish, both written and verbal.
- Strong interpersonal skills, with a warm, professional, and service-oriented approach.
- Ability to manage multiple tasks in a busy school environment with attention to detail.
- Strong organizational skills and the ability to prioritize effectively.
- Proficiency in Microsoft Office, email, and general administrative systems.
- Discretion and confidentiality when handling sensitive information.
- Positive attitude, reliability, punctuality, and willingness to support the wider school team.
- Ability to remain calm, polite, and solution-focused when dealing with parents, students, staff, and visitors.
- Experience working in a school or international environment would be an advantage.
