ROLE SUMMARY:

St. Peter’s International School, located in Palmela near Lisbon, serves around 1,500 students from 4 months to 18 years on a modern 37,000 m² campus. The school offers a bilingual curriculum (Portuguese/English), Cambridge programmes, and the International Baccalaureate, alongside boarding options for older students. With excellent facilities, small class sizes, and a strong culture of academic excellence, St. Peter’s provides an inspiring environment for both students and teachers.

We are looking for a highly organized and proactive Administrative Assistant to support the Executive Head of School in day-to-day administrative tasks. The ideal candidate will help ensure the smooth operation of the school’s office and assist with a variety of tasks aimed at enhancing the overall efficiency of the school.

KEY RESPONSIBILITIES:

  • Provide general administrative support to the Executive Head of School, assisting with routine office duties and ensuring smooth operations.
  • Assist with preparing emails, letters, and simple reports, as well as supporting internal and external communications.
  • Support the creation and distribution of the school’s weekly newsletter by gathering information and ensuring accuracy.
  • Assist with scheduling meetings, organizing appointments, and supporting the coordination of school events.
  • Manage basic correspondence, including emails and phone calls, in a prompt and professional manner.
  • Support travel planning and accommodations for the Executive Head of School when needed.
  • Provide assistance with special projects and initiatives as assigned.
  • Handle sensitive information with professionalism, maintaining confidentiality at all times.
  • Provide administrative support to the St. Peter’s Parent Association by helping organize meetings and communications.

THE IDEAL CANDIDATE WILL HAVE:

  • Experience in an administrative or support role, preferably within an educational or similar setting.
  • Strong communication skills, both written and verbal.
  • Good organizational skills and attention to detail.
  • Basic proficiency in Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with discretion.
  • Friendly and professional interpersonal skills, with the ability to work well with staff, parents, and students.
  • A proactive and adaptable approach to work.
  • Fluency in Portuguese and English is essential for communication with stakeholders.
