Personal Assistant of Senior Leadership Team

ROLE SUMMARY:
We are looking for a highly organised, proactive, and discreet Personal Assistant to provide comprehensive administrative and strategic support to our Senior Team Lead. As the primary point of contact for their office, you will play a crucial role in ensuring the smooth and efficient running of day-to-day operations, enabling our leadership to focus on strategic priorities and educational excellence.
KEY RESPONSIBILITIES:
- Diary & Inbox Management: Proactively manage the Senior Team Lead’s calendar, scheduling meetings and prioritising competing demands with precision.
- Communication Hub: Act as the first point of contact for staff, parents, and external stakeholders, handling all enquiries with professionalism, diplomacy, and tact.
- Meeting Support: Organise leadership meetings, prepare agendas, compile briefing materials, and take accurate minutes, ensuring all follow-up actions are tracked and completed.
- Documentation & Reporting: Draft, edit, and format high-level correspondence, reports, and presentations in both Portuguese and English.
- Liaison & Coordination: Serve as a bridge for smooth communication between the leadership office and internal departments, supporting whole-school initiatives.
- Event & Project Support: Assist in the coordination of school events, senior-level recruitment processes, and special administrative projects as required.
- Confidentiality: Handle sensitive information regarding staff, students, and school operations with the highest level of discretion.
THE IDEAL CANDIDATE WILL HAVE:
- Experience: Proven experience as a Personal Assistant or Executive Assistant, preferably in an international or educational environment.
- Linguistic Skills: Native or near-native fluency in Portuguese and high proficiency in English (essential for the Inspired global network).
- Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint) and experience with school management systems is an advantage.
- Organisational Excellence: Exceptional time-management skills and the ability to remain calm and effective under pressure.
