The school will build on the academic success and heritage of our Wetherby and Pembridge Hall Pre-Prep and Prep Schools. Wetherby Pembridge will provide a premium, academic senior school pathway for students who are looking for an academically excellent, London co-educational senior school.

 

The school will feature state-of-the-art learning environments with future-ready classrooms and labs, a library with an eight-floor glass atrium, professional-standard theatre facilities, STEAM Maker Spaces using the latest AI and VR technology, a vibrant Creative and Performing Arts programme and outstanding provision for sport both onsite and nearby.

 

We are delighted to welcome applications from personable, energetic and suitably qualified individuals for the role of School Administrator and Front Desk Manager. This is an exciting opportunity for the right candidate to play an important role in supporting the work of the Founding Leadership Team in developing a world-class school from the ground up. The successful candidate will be the first point of contact for all visitors to the School, thus fulfilling a critical front-of-house role in ensuring all visitors’ experience of the School is of the highest quality. In addition, the successful candidate will be a key member of the administrative team, thus playing a key role in ensuring the smooth day-to-day running of the School.

The role of School Administrator and Front Desk Manager offers the opportunity to play an essential role at the heart of the School’s operations, in a busy, fast-paced and energising environment. The role requires first-class administrative and interpersonal skills, excellent judgement, a pro-active approach, high levels of tact, discretion, initiative, personal organisation and flexibility, as well as an ability to prioritise and to work to deadlines. The ability to maintain confidentiality is essential.

KEY RESPONSIBILITIES:

 

School Administrator

  • Manage written communication and parent correspondence, including emails and telephone enquiries.

  • Schedule and coordinate meetings, parent visits, and school tours in collaboration with the Head of Admissions.

  • Maintain and update the iSAMS database, school calendar, website, newsletters, policies, and key school information.

  • Oversee daily attendance reporting, follow up on unexplained absences, and liaise with parents as needed.

  • Organise school events such as student and staff photographs, flu vaccinations, and transport for trips.

  • Support school inspection readiness by ensuring all administrative processes and documentation are up to date.

 

Front Desk Manager

  • Welcome all visitors, staff, and students, ensuring the Reception area is organised, professional, and welcoming.

  • Handle incoming telephone calls, emails, post distribution, and general administrative tasks including filing and photocopying.

  • Act as the School’s First Aid Coordinator, administering first aid and medication in line with school policy, and maintaining first aid supplies.

  • Manage room bookings for school events, liaising with the Premises Manager to prepare event spaces, and serve as a School Fire Warden.

THE IDEAL CANDIDATE WILL HAVE:

 

  • A good standard of education, including a high standard of written English, and the right to work in the UK
  • Some previous experience of working as a PA or secretary in an educational environment
  • Experience of minute taking and producing agendas/minutes for meetings
  • Proficient in the use of MS Office (especially Word, Excel, Powerpoint), iSAMS, databases, email and internet
  • Effective written and verbal communication skills with the ability to draft own correspondence with fluency and accuracy
  • Ability to proof read with excellent attention to detail
  • Demonstrable administrative, organisational/planning and inter-personal skills
  • Ability to communicate effectively with a variety of people
  • Ability to maintain confidentiality in respect of student and staff information, and to approach all confidential matters with discretion, sensitivity and diplomacy
  • An understanding of and sympathy with the School’s values and a willingness to get involved in all aspects of school life
  • Ability to relate to young people
  • A high standard of personal presentation
  • The resilience, drive, strength of character and sense of both humour and perspective to thrive in a fast-paced, demanding and ambitious environment
