ROLE SUMMARY:

 

The Executive Assistant will have a broad set of responsibilities that range from supporting the Principal, to supporting the admissions and marketing function of the school. This position requires exceptional organisational skills, attention to detail, creative flair, and the ability to multitask and prioritise tasks efficiently. Experience, or an interest in, premium customer service, marketing or sales is essential.

KEY RESPONSIBILITIES:

 

  • To provide efficient and effective administrative support for the Principal
  • To be the initial, confidential point of contact for the Principal either on the telephone or in person.
  • To manage diary for the Principal and meet, greet and offer hospitality to visitors
  • Actively support the admissions secretary in following up leads and generating material to send to prospective families including bulletins, updates etc
  • Help in the creation of parental and prospective family newsletters
  • Actively seek photos, articles and other material to promote the work of the school
  • Create copy for newsletters, press and social media
  • Take a lead role in the planning and management of school events
  • Proofread the newsletter and the School's prospectus, as well as all other outgoing communications
  • Oversee the school website and key marketing documents as/when required
  • Oversee all GDPR administration including Freedom of Information Requests, Subject Access Requests, breaches, destruction logs, DPIAS and the yearly audit.
  • Positively representing the school in person and online, to parents, visitors, the community and other schools within the immediate locale and beyond
  • Undertaking any other reasonable duty assigned by the Principal

THE IDEAL CANDIDATE WILL HAVE:

 

Essential requisitions:

  • Are a graduate in any discipline, with a minimum of one year of professional administrative experience 
  • Working in a premium customer service, marketing or sales driven environment
  • Have excellent written and verbal communication skills in both English and Italian 
  • Excellent interpersonal skills 
  • Ability to use technology and a range of administration software including Word, Excel etc
  • Exceptional Organisational and time management skills with the ability to prioritise effectively
  • Ability to exercise sound judgement and demonstrate initiative to accomplish assigned tasks. Must demonstrate adaptable thinking and respond well to change.
  • Strong creative judgement and a good eye for design
  • Meticulous proof reading/attention to detail
  • Possess a positive attitude and approach to professional development
  • A readiness to make a proactive contribution to whole school marketing and admissions
  • Calm and can do approach
  • Excellent interpersonal skills with ability to liaise with a broad spectrum of people.
  • Proactive and flexible and willing to work beyond the school day as required
  • Sound judgment and the ability to maintain confidentiality.
