ROLE SUMMARY:
The Admissions Officer is responsible for managing incoming applications and documentation, communicating with prospective families/students and offer personal guidance through the school visit/admission process. The Admissions Officer also reviews application files, participates in open days or other mkt events, liaises with academic departments and the front desk / adm and finance to facilitate information flow.
KEY RESPONSIBILITIES:
- Manage and respond to admissions enquiries through OpenApply, email, phone and in person.
- Guide prospective families through the admissions and enrolment process from enquiry to induction.
- Maintain accurate admissions records across OpenApply, iSAMS and JDE.
- Track applications, class availability and enrolment data, ensuring timely follow-up with families.
- Organise and conduct school tours, assessments, interviews and admissions events.
- Liaise with academic staff to support application reviews, student placement and admissions decisions.
- Coordinate re-enrolment processes and prepare associated documentation.
- Maintain up-to-date admissions policies, forms, fee information and related materials.
- Produce admissions reports and support outreach and recruitment initiatives.
- Manage agent and corporate partnership processes and ensure compliance with relevant procedures.
- Support school marketing activities by providing content and promoting the school to prospective families.
ADMISSION PROCEDURE:
- Parents are kindly asked to entry their data via CRM - openapply if they first visit our website (if they call, pls complete the openapply form using it is as guideline for acquiring information).
- Should perspective call the school office, the ladies at the front desk will forward you the call. If not available, the front desk will forward a message to the admission officer with phone number/email. All leads will be called back within the day, and max in 24 hrs.
- Parents are also asked to upload a copy of their child's most recent school report if they have already attended a school, possibly before the school visit (from year 2 up) ( for High School : required last 2 reports).
- Parents will receive an automated e-mail from the openapply.
- The admissions officer will contact the family who enquired to follow up via email or phone and arrange a school visit or an online intro visit.
- From Primary school upwards, after the initial visit, parents interested in enrolling their child must register them for an assessment test which involves payment of a non-refundable fee of 100 euro (front desk for High school only).
- The Admissions officer will communicate the test result to parents and offer places accordingly.
- When the school offers a place, parents will be asked to sign the enrolment and school regulation form, a copy of which will be given to parents at the school visit.
- The payment of the registration will secure the place in the school.
- Agent agreement: a student proposed by an Agent should follow the usual procedure for prospective students.
- The Admissions Officer is in charge of relaying information about exchange programs and to give necessary contact information to interested current families.
