ROLE SUMMARY:
The Wingate School (TWS) is an accredited Cambridge International School and an IB World School in Mexico City that offers an educational programme focussed on academic excellence, creativity and human formation. TWS teaches the International Early Years Curriculum in Kindergarten, the International Primary Curriculum, and the Cambridge Lower Secondary Curriculum. The school is a member of the Latin American Heads Conference, was awarded the Foundation Level of British Council’s International School Award and was recently named "One of the 10 best international schools in Latin America" by The Knowledge Review
We are looking for an exceptional Executive Assistant who brings creativity and a forward-thinking attitude to to manage a varied and dynamic workload in a fast-growing educational environment.
KEY RESPONSIBILITIES:
- Manage and coordinate complex calendars and appointments for Senior Leadership Team members efficiently
- Organize meetings, prepare agendas, take minutes, and follow up on action points
- Support preparation of reports, presentations, and official correspondence in both English and Spanish
- Handle confidential and sensitive information with discretion and professionalism
- Greet and welcome parents, students, staff, and visitors in a professional and friendly manner
- Manage incoming calls and redirect or respond to queries appropriately in both languages
- Schedule and confirm appointments with parents, students, and external stakeholders
- Manage administrative tasks related to admissions, including appointment tracking and document collection
- Coordinate usage and scheduling of school meeting rooms and common areas
THE IDEAL CANDIDATE WILL HAVE:
- Proven experience supporting senior executives or working in a similar EA/reception role.
- Proven ability to manage multiple calendars, appointments, and competing priorities with efficiency and attention to detail
- Strong organizational and planning skills, with the ability to work independently and as part of a team
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable with digital scheduling platforms
- Exceptional interpersonal skills to engage with a diverse school community, including parents, staff, and students
- Professional discretion, integrity, and the ability to maintain confidentiality at all times
- A warm, approachable demeanor combined with a proactive and flexible attitude
- Fluency in English and Spanish with excellent verbal and written communication skills
