The Student Onboarding & Admissions Coordinator plays a key role in ensuring families experience a smooth, supportive journey from initial enquiry through to enrolment or re-enrolment. Centered on family engagement, problem-solving, and process management, this role works directly with families to resolve challenges, provide tailored consultations, and guide them through every step of the onboarding process.
Working collaboratively with internal teams, the postholder maintains accurate data, manages communication with families, troubleshoots system-related issues, and ensures every student transitions into school successfully. This role is essential in enhancing family experience, supporting operational efficiency, and strengthening the school’s admissions journey.
KEY RESPONSIBILITIES:
Family Engagement & Support
- Act as a dedicated point of contact for families throughout the registration and enrolment journey.
- Follow up with families who begin but do not complete registration, addressing barriers and encouraging progression to enrolment.
- Provide prompt and empathetic support via email, phone, and Teams calls, including screen-sharing where needed.
- Maintain timely communication with families delaying their start date.
Student Onboarding & Enrolment
- Oversee onboarding for successful IB applicants, ensuring correct subject choices, equipment, and VR licence setup.
- Maintain oversight of families progressing toward enrolment, ensuring timely outcomes.
- Share accurate student information with Education and Administration teams.
Collaboration & System Support
- Liaise with Data & Systems Support and the Transformation Team to resolve technical issues and update families.
- Provide user feedback to support system enhancements and identify common onboarding challenges.
- Build broad product knowledge to deliver first-time resolution wherever possible.
Data, Compliance & Information Management
- Ensure all student and family data is accurate, verified, and compliant with school policies and data protection regulations.
- Review enrolment dashboard submissions and manage manual enrolments, ensuring contracts and payments are complete.
- Share key information (e.g., SEN needs, preferred name, pronouns) with relevant internal teams for smooth transitions.
- Maintain up-to-date records for Finance, IT, Education and Administration teams.
THE IDEAL CANDIDATE WILL HAVE:
- Excellent customer service and problem-solving skills.
- High attention to detail with strong accuracy in data handling.
- Excellent written and verbal communication skills.
- High computer literacy and understanding of data management and integrity.
- Proficiency in Microsoft Office and familiarity with systems such as iSAMS and Dynamics.
- Ability to train and support users with systems and data tools.
- Ability to work independently and collaboratively, managing workload effectively.
- Empathy, patience, and professionalism when supporting families.
- Understanding of compliance requirements.
Skills & Experience:
- Experience in sales, admissions, or customer service (education, recruitment, or similar environments).
- Strong communication and confidence in resolving concerns.
- Familiarity with compliance processes (e.g., AML).
- Highly organised with strong multitasking ability.
- Comfortable using CRM systems, email, and online communication tools.
- Team-oriented, collaborative, and willing to share knowledge.
- Self-motivated and results-driven.
