ROLE SUMMARY:
As a School Administrative Assistant at PaRK International School Alfragide, you will be the vital engine driving the daily operations of our vibrant, multicultural campus. Serving as a key link between the school management, academic staff, and our community of diverse families, you will balance administrative excellence with exceptional customer service. This fast-paced role requires an agile professional who can manage accurate student data systems while maintaining the warm, high-level communication that defines an Inspired Education Group school.
KEY RESPONSIBILITIES:
1. Front Desk & Customer Relations
- Serve as the main point of contact for students, parents, staff, and visitors, ensuring a professional, premium, and welcoming environment.
- Manage the school switchboard, gate/reception enquiries, and incoming generic email correspondence with speed and accuracy.
- Support the Admissions Team by welcoming prospective families, directing enquiries, and assisting with onboarding documentation for new students.
2. Academic & Operational Administration
- Maintain accurate, up-to-date student attendance records and database management.
- Assist the Academic Coordinators with internal schedules, report cards, calendar updates, and the organization of school examinations (Cambridge IGCSE / IB Diploma).
- Coordinate the internal logistics for school events, field trips, parent-teacher meetings, and extracurricular activities.
- Manage day-to-day office supplies, uniform requests, and direct invoicing/billing alignments with the centralized Finance Team.
3. Safeguarding & Communication
- Handle sensitive student and staff documentation with absolute confidentiality, in strict compliance with GDPR standards.
- Monitor visitor access badges and logbooks, actively reinforcing the school's health, safety, and safeguarding procedures.
- Draft and dispatch official school announcements and daily updates to parents in both fluent English and Portuguese.
THE IDEAL CANDIDATE WILL HAVE:
- Secondary Education degree (University Degree preferred).2–3 years of administrative experience (international or premium environments preferred).
- Bilingual fluency in English and Portuguese (written and spoken) is required.
- Proficiency in Microsoft Office (experience with School Management Systems is a plus).
- Strong multitasking, organization, and problem-solving skills under pressure.
- Excellent interpersonal and client-facing communication skills.
- High adaptability and collaborative mindset.
