ROLE SUMMARY:

 

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Executive Head of School. The ideal candidate will play a key role in ensuring the smooth operation of our office and supporting the effective delivery of our organization's goals.

KEY RESPONSIBILITIES:

 

  • Administrative Support: Provide high-level administrative support to the Executive Head of School, ensuring smooth day-to-day operations.

  • Communication: Demonstrate strong communication skills by preparing concise communications, presentations, policies, procedures, and reports.

  • Newsletter Management: Oversee the creation and distribution of the school’s weekly newsletter, ensuring accurate and engaging content.

  • Scheduling and Coordination: Manage calendars, schedule appointments, and coordinate meetings and events, ensuring all logistics are handled efficiently.

  • Facilities Management: Ensure the effective management of school facilities, with a strong focus on prioritizing health and safety standards.

  • Correspondence Handling: Handle correspondence, including emails, letters, and phone calls, with promptness and professionalism.

  • Travel Arrangements: Assist with travel arrangements and accommodations for the Executive Head of School and other key staff as needed.

  • Special Projects: Assist with special projects and initiatives, providing support as needed to ensure their successful completion.

  • Confidentiality: Handle confidential information with utmost discretion and professionalism, maintaining the trust and privacy of sensitive data.

  • Alumni Programme Management: Lead the PaRK IS Alumni programme, engaging former students and facilitating alumni events and communications.

  • Parent Association Management: Manage the PaRK Parent Association, coordinating activities, meetings, and communications to support parent engagement and involvement.

THE IDEAL CANDIDATE WILL HAVE:

 

  • ​​​​Proven experience in a high-level administrative support role, preferably within an educational setting.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with integrity and professionalism.
  • Exceptional interpersonal skills and the ability to work collaboratively with diverse stakeholders.
  • Strong attention to detail and accuracy
  • Demonstrated ability to manage projects and meet deadlines.
  • Knowledge of health and safety regulations is a plus.
  • Experience in event planning and coordination.
  • A proactive and adaptable approach to work, with a keen eye for detail.
  • Fluency in Portuguese and English for effective communication with all stakeholders.
