ROLE SUMMARY:

 

The HR Officer provides efficient, accurate and confidential administrative support to the Human Resources function. The role ensures effective administration across the employee lifecycle, reliable employee records, compliance with applicable labour legislation and company policies, and consistent delivery of HR services across the school or region.

 

The role serves as a first point of contact for routine HR enquiries and supports recruitment, onboarding, payroll, employee relations, benefits, compliance, reporting and learning administration.

KEY RESPONSIBILITIES:

 

Employee Lifecycle Administration
•    Prepare employment contracts, amendments, confirmations and other employment-related documentation.
•    Coordinate onboarding, induction and probation administration for new employees.
•    Facilitate offboarding processes, including resignations, terminations, exit documentation and clearance records.
•    Maintain accurate employee records in HR systems and personnel files.
•    Ensure employee information is updated accurately and timeously.


Recruitment Administration
•    Coordinate interview schedules, candidate communication and recruitment logistics.
•    Process recruitment documentation and maintain recruitment records on Success Factors.
•    Coordinate pre-employment checks, references and required compliance verification.
•    Support the recruitment process from approved requisition through to appointment.
•    Promote a professional and respectful candidate experience.

Payroll Administration Support
•    Capture and verify employee data changes for payroll processing.
•    Process documentation for new appointments, terminations, salary amendments and benefit changes.
•    Assist with monthly payroll inputs, checks and reconciliations.
•    Maintain payroll records and supporting documentation.
•    Assist with routine payroll-related employee queries and escalate exceptions appropriately.


HR Compliance and Governance
•    Maintain HR policies, templates, records and document control standards.
•    Support HR audits, compliance reviews and remediation tracking.
•    Monitor mandatory employee documentation and required submissions.
•    Assist with SACE and other educator compliance processes where applicable.
•    Apply POPIA-aligned confidentiality and data protection practices when handling personal information.

THE IDEAL CANDIDATE WILL HAVE:

 

Qualifications:

  • Essential: Diploma or degree in Human Resources, Industrial Psychology, Business Administration or a related field.

Experience:

  • Minimum 3y ears of HR Officer experience.
  • Experience maintaining confidential employee records.
  • Experience supporting recruitment and onboarding processes.
  • Experience using HR information systems.
  • Education-sector, payroll administration and employee relations exposure would be advantageous.

Knowledge:

  • Basic Conditions of Employment Act (BCEA).
  • Labour Relations Act (LRA).
  • Employment Equity Act (EEA).
  • Skills Development Act (SDA).
  • Protection of Personal Information Act (POPIA) requirements relating to employee data.
  • Sound HR administration and document management practices.

Technical Skills

  • Microsoft Office, including strong working knowledge of Word and Excel.
  • HR information systems and employee self-service platforms.
  • Data capture, validation, reporting and document control.
  • Professional written communication and records management.
