The Transport Coordinator is responsible for overseeing the safe, efficient, and reliable operation of the school’s transportation services. This includes coordinating daily bus operations, managing transport schedules and routes, maintaining effective communication with parents and staff, and ensuring compliance with safety and operational standards. The role plays a critical part in supporting the wellbeing and punctuality of students while delivering a high level of customer service to the school community. 

KEY RESPONSIBILITIES:

  • Coordinate the daily operation of the school transport service to ensure safe, reliable, and efficient transportation for students.

  • Manage and optimise bus routes, schedules, and transport allocations based on operational needs.

  • Serve as the main contact for parents, staff, drivers, and transport providers regarding transport-related matters.

  • Monitor daily transport performance, including punctuality, safety, and service quality.

  • Maintain accurate transport records, student lists, attendance, and emergency contact information.

  • Ensure compliance with school safeguarding policies, health and safety standards, and local transport regulations.

  • Coordinate transport arrangements for new students, school events, excursions, and emergency situations.

  • Investigate and resolve transport incidents, complaints, or operational issues promptly and professionally.

  • Conduct regular checks to ensure vehicles, drivers, and attendants meet required safety and operational standards.

  • Prepare transport reports and provide operational updates to school leadership as required.

  • Build strong relationships with transport vendors and support continuous improvement of transport services.

THE IDEAL CANDIDATE WILL HAVE:

  • Previous experience in transportation coordination, logistics, school operations, or a related administrative role.

  • Strong organisational and multitasking skills with the ability to manage schedules, routes, and operational priorities effectively.

  • Excellent communication and interpersonal skills, with the ability to build positive relationships with parents, students, staff, drivers, and external providers.

  • A strong commitment to student safety, wellbeing, and high standards of customer service.

  • The ability to remain calm, responsive, and solutions-focused in a fast-paced environment and during unexpected operational changes.

  • Good problem-solving and decision-making skills, with attention to detail and accuracy in record keeping and reporting.

  • Confidence in using digital systems and Microsoft Office applications, particularly Excel, email, and scheduling or database tools.

  • Experience working in an international school or multicultural environment is advantageous.

  • Knowledge of local transport regulations, health and safety standards, and operational compliance requirements is preferred.

  • The ability to work collaboratively as part of a team while also managing responsibilities independently.

  • Flexibility to support transport operations outside standard school hours when required for events, emergencies, or operational needs.

  • Professionalism, reliability, integrity, and a proactive approach to continuous improvement.
