ROLE SUMMARY:
Colégio Internacional de Vilamoura (CIV) is seeking a highly organized and proactive Secondary School Administrator to provide comprehensive administrative support to the Secondary Leadership Team, teachers, staff, and pupils. The role is central to ensuring the effective delivery of the curriculum, supporting daily school operations, and maintaining efficient communication with staff, students, and parents. The successful candidate will also contribute to whole-school projects, assist with timetable and cover management, and play a vital role in the smooth running of academic and pastoral functions within the school.
KEY RESPONSIBILITIES:
Key Responsibilities
- Provide administrative support to leadership, teaching, and associate staff.
- Manage attendance records, pupil enquiries, and student data using school systems (ISAMS, Google Apps, Microsoft).
- Support curriculum administration, timetables, cover arrangements, and exam organisation.
- Assist in the coordination of academic events, parents’ evenings, and enrichment activities.
- Liaise with Heads of Houses and pastoral staff to support student welfare and wellbeing.
- Contribute to school communications, certificates, newsletters, and reports.
- Support reception duties and liaise effectively with parents and external stakeholders.

- Strong administrative and organisational skills with attention to detail.
- Excellent IT literacy (Google Suite, Microsoft Office, ISAMS).
- Strong interpersonal and communication skills.
- Ability to multitask, prioritise, and work under pressure.
- Experience in a school or educational setting (desirable).
- Commitment to safeguarding and supporting student success.
- Proficiency in both speaking and written communication in English
