ROLE SUMMARY:

King’s College School Panama is a world-class international private school in Clayton, Panama, bordering the beautiful Panamanian rainforest and conveniently located near the vibrant city centre. 

The Office Assistant provides efficient administrative and clerical support to ensure the smooth day-to-day operation of the school office. As a key point of contact for students, parents, staff, and visitors, the role requires professionalism, strong organizational skills, and a welcoming demeanor. The Office Assistant contributes to maintaining accurate records, supporting school operations, and upholding high standards of customer service within a multicultural school environment.

KEY RESPONSIBILITIES:

  1. Serve as the first point of contact for parents, students, visitors, and external stakeholders, during peak times and/or covering the receptionist.

  2. Maintain accurate student records and update school databases as required.

  3. Assist with admissions documentation and onboarding processes.

  4. Maintain and manage student transcripts and academic records.

  5. Coordinate yearbook production with external suppliers (photography, design, printing).

  6. Capture photos and videos of school activities for media and promotional use.

  7. Assist with planning and logistics for additional school events throughout the year, such as Summer Fair, Graduation, etc.

  8. Assist parents and students with uniform purchases.
  9. Handle confidential information with discretion and professionalism.
  10. Support compliance with school policies, safeguarding procedures, and health and safety regulations.

THE IDEAL CANDIDATE WILL HAVE:

  1. High school diploma required; diploma or certification in administration, marketing or related fields.

  2. Minimum 2 years of administrative or office experience (school environment preferred).

  3. Excellent verbal and written communication skills in English (additional languages an asset).

  4. Strong organizational skills with the ability to multitask and prioritize effectively.

  5. Professional demeanor and strong customer service orientation.

  6. Ability to handle confidential information with discretion.

  7. Commitment to safeguarding and working within an international, multicultural environment.
