ROLE SUMMARY:
Saint John's International School is seeking a committed and hands-on Technical Facility Manager & Prevention Advisor to coordinate and technically oversee the day-to-day facility and maintenance operations of the campus, helping to provide a safe and stimulating learning environment for everyone in the community. The postholder coordinates the technical, cleaning, grounds maintenance, and catering-related logistics across campus, and supports the Operations Manager in the delivery of renovation projects and the strategic campus plan. This role demands a hands-on, technically grounded approach to keeping the school's physical assets running smoothly day to day.
The Technical Facility Manager reports to the Operations Manager who retains overall Opex/Capex budget ownership and strategic planning responsibility for the campus; the Technical Facility Manager identifies and communicates facilities needs in close cooperation with the Operations Manager, and plays a direct day-to-day and risk-assessment role in contractor management and RFP (request-for-proposal) processes.
The role also includes Prevention Advisor responsibilities. In this capacity, he/she reports directly to the Head of School, in line with the independence required under Belgian Codex on Well-being at Work. The Prevention Advisor plays an important role in supporting compliance, risk awareness and a safe working environment across the school.
KEY RESPONSIBILITIES:
SECURITY
- Ensure daily opening/closing of the school, secure areas when not in use, coordinate contractor access to specific areas outside normal hours, support out-of-hours alarm protocols by coordinating day-to-day execution with the concierge team, operate CCTV in line with data protection rules, and verify that subcontracted staff meet safer-recruitment standards before access is granted.
FACILITIES COORDINATION
- Identify and communicate maintenance and improvement needs to the Operations Manager, manage the maintenance ticketing system using it to coordinate day-to-day works and contractor activity, oversee cleaning operations, monitor planned and reactive maintenance, and track service levels and contractor performance from a risk perspective and contributing to RFP processes.
HEALTH & SAFETY (PREVENTION ADVISOR)
- As certified Prevention Advisor (Level I), carry out risk assessments, ensure compliance with health, safety and welfare requirements, monitor indoor air quality and ventilation, coordinate Legionella and electrical testing, prepare and present the necessary information/data for Health & Safety Committee (CPPT/CPBW - Comité pour la Prévention et la Protection du Travail) meetings, chaired by the Head of School and maintain campus infrastructure records.
SUSTAINABILITY
- Coordinate the day-to-day implementation of sustainability initiatives set by the Leadership team, Catering team, and the school's sustainability group, and ensure waste and recycling procedures are followed on campus.
BUILDING RECORDS AND LEGISLATION
- Maintain up-to-date records of building condition, planned maintenance, reactive maintenance, and risk assessments.
- Track legal inspection schedules and ensure records are current and available on request
EVENTS COORDINATION
- Coordinate the facilities and technical logistics needed to support school and community events.
PEOPLE MANAGEMENT
Direct: One direct report (Handyman).
Indirect: The cleaning and concierge teams are provided by external subcontractors and are not direct reports; the Facility Manager coordinates their duties and day-to-day activities. Also day-to-day contact with maintenance and works contractors regarding access, progress, and conduct on site.
CONTACTS & RELATIONSHIPS
Internal: Regular contact with the Operations Manager, and with the externally subcontracted cleaning and concierge teams on day-to-day coordination.
External: Regular contact with contractors and suppliers on day-to-day operational and RFP-related matters; occasional contact with regional authorities, the Fire Brigade, and Police. The postholder balances minimizing disruption to school activities against keeping contractor work on schedule.
TRAINING
- Undertake all relevant in-service training as required, and ensure that all relevant skills/qualifications are kept up to date.
- Support the training and day-to-day supervision of site maintenance staff.
THE IDEAL CANDIDATE WILL HAVE:
QUALIFICATIONS
- Certified Prevention Advisor, Level I, recognized by the Belgian Federal Public Service Employment, Labour and Social Dialogue (or willing to undergo the training course).
- Vocational or technical qualification in a relevant trade (electrical, mechanical, building services) or in facilities management.
- Working knowledge of HVAC and plumbing systems, and electrical competency at BA4 or BA5 level (Belgian AREI/RGIE electrical safety regulations).
EXPERIENCE
- Experience coordinating maintenance, cleaning, or contractor schedules in a multi-building or campus environment.
- Experience contributing to RFP/tender processes and assessing contractor performance from a risk perspective.
- Comfortable using budget-tracking and ticketing tools (e.g., Airtable) to log, plan, and report maintenance activity.
- Familiarity with international-school accreditation frameworks (e.g., CIS, NEASC, WASC) and the facilities-related evidence they require is an asset.
LANGUAGES
- Working proficiency in French and English preferred, given the school's location and community.
