ROLE SUMMARY:
St. John’s International School is seeking two part-time professional, customer-focused, and highly organized Receptionist & Administrative Support Officers to provide front-of-house services and administrative assistance within our dynamic international school environment.
As the first point of contact for students, parents, staff, and visitors, the successful candidates will play a key role in creating a welcoming, efficient, and professional experience for all members of the school community. Excellent presentation, hospitality, and communication skills are essential, together with the ability to multitask and remain calm in a fast-paced environment.
KEY RESPONSIBILITIES:
Reception & Front Desk Services
- Welcome and assist students, parents, visitors, and external partners in a professional and friendly manner.
- Serve as the first point of contact at the school's reception desk.
- Answer, screen, and direct incoming telephone calls and email enquiries.
- Manage visitor registration procedures and issue visitor badges when required.
- Maintain a professional and welcoming reception area at all times.
Student & School Operations Support
- Register and monitor late-arriving students in accordance with school procedures.
- Support the daily coordination of student transportation and bus services.
- Liaise with transportation providers, students, parents, and school staff regarding transportation-related matters.
- Assist with communication during transportation disruptions or schedule changes.
Mail & General Administration
- Receive, sort, distribute, and process incoming and outgoing mail and deliveries.
- Manage courier services and shipment requests.
- Maintain accurate administrative records and filing systems.
- Provide general administrative support across the school as required.
Administrative Support to School Departments
Provide dedicated administrative assistance to the:
- Head of Performing Arts
- Director of Athletics
Responsibilities may include:
- Coordinating transportation arrangements for events, competitions, performances, and school activities.
- Assisting with travel bookings and related logistics.
- Maintaining expense records, cost tracking, and budget summaries.
- Preparing administrative documents, reports, and correspondence.
- Supporting event planning and operational coordination.
Travel Coordination
- Arrange travel bookings, accommodation, and transportation for staff and approved school activities.
