ROLE SUMMARY:

We are seeking an experienced Receptionist to join the administration team from June 2026.  This is a full-time, permanent position.

The position will involve front of school reception, customer service and a range of office responsibilities including secretarial support, cash handling and banking, and data processing.

KEY RESPONSIBILITIES:

Office Operations & Administration

  • Oversee the daily operations of the school office, ensuring a professional and responsive front-of-house service
  • Oversee student records, attendance systems, and administrative databases with accuracy and confidentiality.
  • Assist with school correspondence, including emails, newsletters, and communications to families.
  • Maintain office systems, procedures, and documentation in line with school policies.


Student & Parent Services 

  • Serve as the first point of contact at reception for students, parents, and visitors, providing a welcoming and supportive environment.
  • Support with enrolment processes, admissions documentation, and student onboarding logistics.
  • Handle parent enquiries and escalate issues appropriately.
  • Support student welfare administration, including attendance tracking and absence reporting.


Facilities & Vendor Coordination 

  • Monitor and maintain school office supplies and equipment.
  • Liaise with contractors and service providers (e.g., maintenance, cleaning, bus operators and IT support).


Compliance & Safeguarding 

  • Ensure administrative processes comply with education regulations, policies, and safeguarding requirements.
  • Maintain accurate records related to student information, health, and emergency contacts.
  • Support health & safety procedures, including incident reporting and emergency preparedness.


Financial & Resource Administration 

  • Assist with budget tracking for office-related expenses.
  • Manage petty cash and basic financial administration where required.

THE IDEAL CANDIDATE WILL HAVE:

SKILLS & EXPERIENCE 

  • Previous experience in a receptionist or administrative role, preferably in an educational setting.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with a variety of stakeholders.
  • Excellent organisational and time management skills, with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite and experience with school management systems (desirable).
  • Ability to handle confidential information with discretion and professionalism.
  • Strong problem-solving skills, with the ability to handle enquiries and issues efficiently.
