School Attendance Officer - TERM TIME ONLY

ROLE SUMMARY:
At ACG Strathallan, our independent school in Karaka, Auckland is committed to providing a world-class learning experience from Preschool to Year 13. We are seeking a capable and well-rounded administrator who thrives in a dynamic school environment and can effectively manage multiple priorities each day. This is a sole-charge, front office role, working 8.00am – 4.00pm, five days per week. This is a permanent, full-time position (term time only), commencing in Term 2, 2026.
The successful candidate will demonstrate strong organisational skills, sound judgement and the confidence to work independently. You will engage professionally with students, parents and staff, providing responsive support while ensuring the smooth day-to-day management of attendance processes.
This is a busy and varied position where no two days are the same, ideally suited to someone who is proactive, adaptable and enjoys being at the heart of a vibrant school community.
KEY RESPONSIBILITIES:
- Enter and maintain daily student attendance records with accuracy and confidentiality
- Process and verify attendance data to ensure completeness and compliance
- Liaise with the Dean, Deputy Principal and Programme Leaders regarding attendance concerns
- Communicate with students and parents/caregivers to follow up on absences and attendance issues
- Maintain detailed records of all correspondence and follow-up actions
- Prepare and distribute weekly attendance reports
- Generate ad hoc or specialised attendance reports as requested
- Prepare and issue attendance warning letters in line with school policy
- Provide administrative support including filing, photocopying, and assistance with accounts and enrolments
- Undertake additional administrative duties as required
THE IDEAL CANDIDATE WILL HAVE:
- High attention to detail with strong data accuracy and record-keeping capability
- Excellent written and verbal communication skills, particularly when liaising with parents and senior staff
- Strong interpersonal skills with the ability to handle sensitive conversations professionally and empathetically
- Organisational and time-management skills, with the ability to prioritise competing tasks
- Confidentiality and discretion when managing student information
- Report preparation and data analysis skills to generate accurate attendance summaries
- Problem-solving skills and sound judgement when escalating attendance concerns
