ROLE SUMMARY:

The Centre Administrator provides front-of-house, administrative, and operational support to ensure the smooth day-to-day running of the Early Learning School. Working closely with the Centre Manager, the role supports enrolments, family engagement, Ministry of Education funding compliance, financial administration, reporting, and record management. The position plays a key role in maintaining accurate and compliant processes, delivering exceptional service to families and stakeholders, and ensuring all administrative and operational activities meet regulatory, organisational, and quality standards. Strong attention to detail, professionalism, and confidentiality are essential to success in this role.
This is a permanent part time role - 25 hours over 5 days - work hours will be 8:00 am to 1:00 pm, Monday to Friday
KEY RESPONSIBILITIES:
- Serve as the first point of contact for families, visitors, and stakeholders, providing professional front-of-house and customer service support.
- Manage enrolments, withdrawals, booking changes, attendance records, and maintain accurate child and family information in Discover.
- Administer and monitor 20 Hours ECE eligibility, enrolment attestations, and attendance verification requirements.
- Prepare ELI returns, support RS7 funding submissions, and ensure compliance with Ministry of Education funding requirements.
- Maintain accurate funding, enrolment, attendance, and staffing records to support audits, reporting, and regulatory compliance.
- Process invoices, maintain billing records, monitor outstanding accounts, and liaise with Accounts regarding financial administration.
- Manage staff rosters, attendance records, and generate staffing, forecasting, and operational reports.
- Produce and distribute compliance, operational, and management reports, ensuring data integrity and accuracy.
- Coordinate procurement of centre supplies and resources, maintain records, and support centre administration and operational activities.
- Promote a safe, compliant, and child-focused environment by adhering to health and safety, safeguarding, and organisational policies and procedures.
THE IDEAL CANDIDATE WILL HAVE:
EXPERIENCE:
- At least 3 years' reception or administration experience.
- Demonstrated experience in an administrative, reception, or office support role within a professional environment.
- Experience working in education, early learning, childcare, or another highly regulated industry is highly desirable.
- Proven ability to manage enrolments, maintain databases and records, and support compliance-related administrative processes.
- Experience with financial administration, including invoicing, billing, account reconciliation, and account management.
- Strong experience preparing reports, maintaining accurate documentation, and handling confidential information with discretion and professionalism.
SKILLS & KNOWLEDGE:
- Strong customer service and relationship-building skills with families and stakeholders.
- Excellent organisational skills with the ability to manage multiple priorities and deadlines.
- High level of accuracy and attention to detail when handling enrolment, funding, financial, and compliance data.
- Strong written, verbal, and digital literacy skills, including proficiency with Microsoft Office and database systems.
- Ability to work independently, solve problems proactively, and maintain confidentiality and professionalism.
- Experience using the Discover system would be an advantage (preferred but not essential).
